Capsule or Pipedrive: start with contacts or deals to follow up?
Assess Capsule for needs centred on contacts and relationship history; compare Pipedrive when the sales pipeline guides daily work. The first filter is concrete: two people and 250 contacts fit within Capsule’s free limits, while a larger contact list already requires considering a paid plan.
Analysis of official documentation, with no testing on a paid account.
Differences that change choice
| Data or need | Capsule CRM | Pipedrive |
|---|---|---|
| First test | Free: two users, 250 contacts and a pipeline. | Evaluate the business, activities and limitations of the selected package. |
| Developments | Multiple pipelines and automations are featured in Growth. | Choose seats, usage limits and useful modules. |
| Former customer | Keep history without creating a sale for each contact. | Create a new business only when there is a commercial need. |
A contact is not always an opportunity
A firm may retain partners, former customers and prospects without a sale being opened for each. In Capsule, distinguish contact from opportunity and associated project. In Pipedrive, set when a track becomes a business. Importing a whole list directly into the pipeline artificially inflates the work to follow.
The free version of Capsule allows for a limited first try, but its capabilities do not represent those of paid offers. Multiple pipelines and some automations depend on supply. Do not assign to entry-level a function seen during a more complete trial.
Compare Monday morning work
Create a fictional example with ten prospects: three to call back, two proposals sent, one lost opportunity and four contacts that are not yet well qualified. Ask a colleague to find the follow-ups without your help. Note which fields they understand and which they interpret differently.
Then add a customer who returns for a new need. The history must remain legible without artificially reopening the old sale. The choice is made when measuring the number of manipulations required for this ordinary situation.
The budget also depends on users
At Pipedrive, an available seat can remain chargeable even without an affected user. Check the purchased seats, fees and options before multiplying a call price per staff. For Capsule, compare the volume of contacts and the required functions to the chosen plan.
Choose Capsule if this lightweight organisation supports handing over records. Choose Pipedrive if managing deals is central to your work and used every week. In both cases, export a few contacts and opportunities before deciding how to migrate the complete history.
Switch from 600 contacts to CRM without distorting the pipeline
Consider this case: a firm has 600 contacts but only 25 active sales projects. The contact count alone exceeds the 250 listed in Capsule Free, even if only two people use the CRM. The free plan can support a limited trial, but it does not cover this entire inventory. The same pricing table places multiple pipelines and automation in Growth.
- Take a fictitious sample representing a partner, a former client and two engaged prospects.
- Link an opportunity only to the prospects concerned, with an amount, a deadline and a future action.
- Add a new need of the former customer without changing the result of his old business.
- Have a colleague take back the file and explain what is active, lost or simply kept in history.
To compare quotes, count retained contacts and required users, then distinct processes. Creating a pipeline for every team member can complicate metrics when the sales stages are identical. Conversely, two activities with different stages may justify separation.
Choose Capsule if relationships and projects remain clear in the appropriate plan; prioritise investigating Pipedrive if follow-ups and deal progression are the main management tool. The example with 600 contacts helps calculate the volume to migrate.
