A form Jotform must remain usable after sending
First, define who receives the request and what to do with it. Then separate monthly bids, cumulative storage, and attachments. Delete old answers does not reset the monthly counter: a company that reaches its limit must provide another contact circuit, not just clean its archives.
Analysis of official documentation, with no testing on a paid account.
Differences that change choice
| Meter | What it measures | Practical consequence |
|---|---|---|
| Monthly submissions | Inputs received or imported during the account cycle. | The deletion of entries does not restore this monthly quota. |
| Storage of bids | Number of entries kept in the account. | Cumulative capacity, distinct from the number received this month. |
| File Space | Volume of attachments stored in the account. | Record keeping must be part of the sizing. |
Start with the decision to be taken
For a request for a quote, ask what makes it possible to qualify the need: delivery, deadline and means of contact. Avoid collecting sensitive information simply because a field exists. Each data must have an identifiable use and a person responsible for its processing.
Build conditional branches around specific situations. If a visitor chooses a different service, previously completed fields must not produce an inconsistent request. Explain the expected formats and make error messages understandable without technical jargon.
Measure files as much as answers
Around a hundred text responses and around a hundred submissions containing several images do not use the same amount of storage. Estimate the average attachment size and your desired retention period. Also compare the volume of attachments with the plan's storage allowance.
If the form collects a payment, also check the quota concerned and the conditions of the payment provider. Confirm that the payment method accepts your country, currency and activity.
Validate complete circuit before broadcast
Submit three fictitious requests: complete, incomplete and repeated. Check the acknowledgement of receipt, notification to the responsible person and final registration. Find the folder in the team's work tool after sending.
Then have a colleague export the responses, delete the test record and resume a request after an absence. Document permissions and how attachments are handled. The form can be published once this process is understood, with information appropriate to the data collected and a plan for reaching a quota limit.
Choose quote requests with photos
Consider this example: a business receives 80 requests per month, with three photos of 2 MB per case. The attachments account for around 480 MB per month, or 2 880 MB after six months without deletion, before other files. This calculation is not a guaranteed plan allowance: compare the result with the capacity shown in your account.
The Jotform documentation Monthly limits and cumulative capacity. It states that removing bids does not reduce their monthly consumption, and that an overrun may disable the forms on the date indicated in the warning. See the reset date on the account usage page instead of assuming the first day of the calendar month.
The journey to be checked before a campaign
- Submit a fictitious folder with the three photos from a phone and check the receipt of all documents.
- Retrieve the file from the account of the person responsible for the estimate, then verify the export required for his work.
- Simulate a request without a photo and an incorrect email address: the team must know how to identify and handle these cases.
- Provide on the page another contact usable if the form becomes unavailable.
Do not use client folder deletion as a simple quota setting. First define useful storage, authorized access and export to keep. No actual production forms or data were used for this fiscal year.
