What to remember before choosing n8n
The first n8n decision concerns who operates the service. Cloud lets you start without installing the engine; a self-hosted instance gives more control over the environment, with operational work to plan for. For a small business, make that decision before comparing node counts or AI features.

What n8n offers on a daily basis
n8n pricing is based on complete workflow executions rather than individual steps. This unit can make a long workflow easier to budget for. It does not make connected services free: an AI provider, email service or paid API retains its own charges.
Cloud is operated by n8n; Community is a self-hosted edition. Before comparing their cost, write who monitors the service and who can restore a backup. A functional installation on a computer is not yet an organization capable of meeting a commitment of availability.
Starter includes 2 500 monthly executions, five concurrent executions and one shared project. A peak in requests therefore requires a different check from the monthly total. Also consider log retention: it determines whether you can investigate an error reported late.
An expression or piece of code can resolve a particular case, but another person must understand his or her intention. Document input formats, missing values and expected output. If each modification requires its original author, automation creates a new human dependence.
When this option makes sense
Who it is for: teams able to describe data, errors and stream maintenance.
When to look at another approach: Do not choose self-hosting only to avoid a subscription if no one can ensure updates, backups and recovery after incident.
Example: night rapprochement
A daily reconciliation may perform many transformations while starting infrequently. A workflow triggered by every message has the opposite profile. Calculate both using their actual frequency; do not equate one n8n execution with a competitor’s credit. If reconciliation becomes critical, also monitor completion time and how discrepancies are handled.
Price: what you really need to budget
Limits that may change your mind
n8n Cloud and the self-hosted Community edition involve different responsibilities. The Cloud quota counts workflow executions; you must also examine simultaneous peaks and the logs available for diagnosing an incident. Self-hosting adds server management, backups, updates and monitoring. Calculate the cost of these tasks before calling the option free, then check that someone else can take over the workflow.

The Business plan is currently restricted to self-hosting. Choosing this tier therefore means taking responsibility for infrastructure, updates and operation, unlike Cloud Starter and Pro, which n8n hosts.

Three checks to see if n8n suits you
The n8n pilot must check data transformation and whether another person can take over a workflow execution.
- Define a data contract
Prepare some fictitious folders with a stable identifier, missing field and poorly formed value. Write down what should be rejected, retained or corrected. Keep the test entries to reproduce the problem.
- Test partial failure
Make a demo destination temporarily unavailable. Check how to find the affected items and prevent duplicate creation on a retry. Do not confuse a completed run with a correct business outcome.
- Calculate operating costs
For Cloud, estimate frequency, peaks and useful storage of logs. For self-hosting, add server, backups, monitoring and responsible person. Request a resumption of the case by a colleague before approving the deployment.
