Pipedrive or HubSpot: who should act in the CRM?
Pipedrive is to consider whether the main need is to track business and future business actions. HubSpot is to be compared if several functions have to work around the same CRM, distinguishing their accesses. A manager who reads a dashboard and a salesman who records a call does not need a seat.

Differences that change choice
| Person or need | Pipedrive | HubSpot |
|---|---|---|
| Active commercial | Provide a seat and the functions of the chosen plan. | The seat type shall open the necessary tools. |
| Reader Manager | Do not assimilate an unallocated purchased seat with free access. | View-Only allows to view but not to modify the records. |
| Budget | Count purchased, even unallocated seats and modules. | Count types of seats, hubs and possible installation costs. |
Delimiting the work to be covered
Describe a request from the site, its qualification, appointment and proposal. If you only want to know who recalls the prospect, start with this limited need. If a campaign, support ticket and several teams are involved, also map their data and rights.
HubSpot uses different seat types and several hubs. Access that lets someone view information does not necessarily provide the expected sales features. Pipedrive also has limits and options. The right comparison therefore concerns a specific configuration, not two logos.
Switching to a payer can change the equation
Sales Hub presents onboarding fees on some advanced offers. Add them to the first-year budget and check the applicable commitment. Avoid making it appear that all functions observed during a demonstration are available in the free CRM.
For Pipedrive, check the invoiced seats even when they are not affected and the modules that complete the commercial tracking. Then compare the recurring cost, the setting cost and the internal time spent setting. A more integrated organization can be useful without being automatically profitable.
Compare data recovery and output
In a fictional exercise, link two contacts to a company, then a deal to that company. Add a note and a future activity. Export and review the result: links between objects matter as much as the rows being present in the file.
Consider Pipedrive when the pipeline is the main need. Consider HubSpot when sharing data across functions justifies a broader configuration. Postpone a full migration until the team can pick up a case and explain its access permissions.
Three business and one management: distinguishing consultation and participation
Let's take this case: three salesmen update their business, while management consults the forecast every Friday. The need changes if the latter also wants to add a note after an appointment: a consultation alone is no longer sufficient. Writing these two uses makes it possible to request comparable estimates.
HubSpot documents free View-Only seats for the relevant subscriptions, but without modification of the cards or recording of emails. A seat gives access to the tools; permissions then determine the permitted actions. At Pipedrive, the seats purchased are invoiced even without affected user.
- Create a fictitious case with a next action and date, then consult with the management profile.
- Ask this profile to add a note and change the amount. Identify authorized actions and required seat.
- Simulate a salesperson leaving on this record: reassign the deal and its follow-up, then check access and billing separately.
The useful estimate specifies the cost with three salesmen, then with an additional replacement. If HubSpot does not bring any shared stream used, its wider coverage does not automatically justify the choice. If several teams are to intervene, clarity of rights becomes central.
