Documented review · Logicelio’s assessment

What to remember before choosing Factomos

Factomos is to be examined when a sale passes through several documents: quote, down payment, delivery and final invoice. His documentary interest also resides in Tempo, which links tasks and time to invoiced amounts. For a service company, this makes it possible to ask a real question of choice: do you charge what has been planned, what has been achieved, or a package independent of the time spent? The software must reproduce your commercial contract.

What Factomos offers on a daily basis

01
Business Document Continuity

The vendor offers quotes, invoices and delivery notes, with conversion between documents. In a multi-stage service, the control point is the traceability of the rest to be invoiced. Use the same folder to find the down payment, changes and balance; multiplying the non-linked documents makes forgetfulness harder to detect.

02
Payments and reminders

Factomos documents payment links and reminders for unpaid invoices. Distinguish the ability to pay online from the payment provider’s fees and actual receipt of funds. To support your decision, work through a partial-payment case: the reminder must concern the amount still due and remain clear to the customer.

03
Time and tasks with Tempo

Tempo's presentation makes it possible to bill the time planned or actually spent and distinguish the billable tasks. This choice can be useful for an agency that mixes packages and additional services. The contractual rule must be retained: an overrun recorded in a chronometer is not automatically an expense accepted by the client.

04
Electronic invoicing via an identified partner

Factomos indicates a native link with eCecurity's eFacture for the electronic invoicing circuit. This dependency deserves to be named in the purchase file: ask who ensures registration, where the statutes are visible, and which medium treats a rejection. The billing product and the platform service are involved in the same path, with responsibilities to be clarified.

When this option makes sense

Who it is for: providers and small businesses that link specifications, execution and billing.

When to look at another approach: A time and billing module is not sufficient to ensure advanced resource planning or comprehensive accounting. Compare these needs separately if your activity requires them.

Example: an agency that loses additional benefits

A small agency may prepare quotes correctly yet still forget billable work. In that situation, changing only the invoice template solves nothing. Decide how an additional request is accepted, recorded and then added to the sales record. Tempo may be an option if the team actually uses this process. If all assignments are sold at a fixed price with no extra billing, time tracking mainly helps you understand internal profitability; it does not justify turning every minute into an invoice line. Compare Factomos with Axonaut if you also need sales tracking, and with a simpler tool if you only need a few documents per month.

Price: what you really need to budget

Limits that may change your mind

Mini includes one user and thirty invoices per year; Vision removes that limit and adds features including expenses, bank reconciliation and an API. Tempo adds projects and time tracking. The annual price is paid in one instalment: Mini lists 86.40 € excluding VAT per year, compared with 9 € excluding VAT with monthly billing. Extra users and bank connections may increase the budget. Electronic invoicing uses Cecurity’s eFacture; registration requirements and responsibilities must be checked.

Preparing your decision

Three checks to see if Factomos suits you

Invoice a fixed-price project with a deposit, then additional work billed by time, without mixing the two rules.

  1. Build a representative sales record

Choose a fictional project with a deposit and two deliveries. Write down the invoicing rule before creating the documents. Then check that the customer can understand each invoice without rereading the whole quote and that the final total matches the agreement, even after a change.

  2. Distinguish recorded time and billable time

In the test scenario, plan an internal task, a task included in the package and an additional intervention accepted. Check how Tempo makes it possible to distinguish them before producing the invoice. The expected result is a legible commercial justification, not just a sum of hours.

  3. Obtain a price for the scope actually required

The pricing table offers several plans and features that should not be assumed to be included in every plan. Record the cost of the plan, time-tracking module and any payment services or integrations. Also ask which data formats can be retrieved: PDF invoices alone do not replace a structured customer list or payment history.
