Choose according to the deliverables your team loses sight of.
If deadlines and responsibilities are becoming scattered, start with a task manager such as ClickUp. If your meetings mainly produce diagrams, workshops and visual decisions, Miro addresses a different need. If a project begins with a client quote and ends with billed hours, Bonsai connects those stages. A small business can combine two tools: a whiteboard for discussions, task tracking for deadlines or invoicing software for payments.

Update to 27 September 2026. This comparison is based on the tariffs and documentation published by the vendors, which were consulted on that date. The prices below are public prices in dollars per user per month displayed by vendors; invoicing currency, VAT, promotions and actual features are to be confirmed before purchase.
The issue before starting a test
Take a recent project and identify what slowed its delivery. An instruction given verbally and then forgotten? A work plan approved in a workshop but never broken down into actions? Hours worked that never appeared on the invoice? These are three separate problems. To choose software, first map a deliverable's journey: customer request, owner, expected date, approval, delivery and, if needed, invoicing. The product that removes the most manual steps from this journey deserves a try.
In a team of three, a table showing "to be done, in progress, completed" may already be sufficient. The difficulty arises when a task awaits approval, when an external stakeholder must see only part of the work or when the leader wants to know what will be delivered this week. Set the rights, notifications and unique source of the promised date before adding views or automations.
ClickUp, Miro and Bonsai do not fulfil the same role
| Dominant position | Output to be examined | What to demonstrate during the test |
|---|---|---|
| Follow tasks, owners, deadlines and dependencies on several projects. | ClickUp | A request becomes an assigned task, then a visible deliverable without re-entering data. |
| Design a process together, lead a workshop and share a visual result. | Miro | The decisions in the table become actions followed and customer access remains under control. |
| Manage a delivery project with client, time spent, proposal and invoice. | Bonsai | The time of the project and the agreed services join an invoice without double entry. |
ClickUp: a lot of structure, so a parameter to specify
ClickUp advertises list and board views, collaborative documents and unlimited tasks on its free plan, but limits file storage to 60 MB. Unlimited adds features including native time tracking, unlimited storage and integrations, and guests with permissions; Business adds workload and export features and a higher automation allowance. Tier names do not mean every use is unlimited: the vendor details its allowances and billing method on its tariff page.
An agency coordinating writers, an approver and a client can track work from start to finish. Before creating a space for every request, test a single project with three statuses and one owner per task, then check what the client can see. ClickUp's documentation states that an internal member added to a paid workspace may be billed, while external guests follow separate rules and quotas. The number of people who need to modify the project counts as much as the number of readers.
Miro: excellent candidate for visual work, to be linked to execution
Miro's free version offers three editable boards and unlimited team members, but those boards are visible to every team member and the guest role is unavailable. Paid plans change sharing options; check the exact type of external access before using it for a confidential workshop. These limits appear in the rates and help center Miro.
For a small business, Miro can clarify a customer journey or launch schedule using sticky notes, cards and diagrams. The checkpoint comes after the meeting: who turns each decision into a task, with what date, and where will its status be updated? Miro describes integrations with project management tools, but you must check whether your plan includes them and which way they synchronise data in your use case. If the team works mainly to individual deadlines, test its existing task tool before adding a visual canvas.
Bonsai: customer service as a work unit
Bonsai brings together projects, tasks, time tracking and customers in Basic. According to the public grid, invoices, payments, proposals, contracts and customer portal enter into Essentials; the returns of profitability, workload and Gantt view are in Premium. This may be suitable for a freelancer or a small agency that seeks to link sales, production and billing. This is less relevant if your projects are only internal or if your billing is already well integrated elsewhere.
Test a customer project from end to end: create the proposal, assign two tasks, enter one billable hour and one internal hour, then produce a draft invoice. Check payment processing fees, invoice formats, currency, taxes and your accountant's work for your French context; Bonsai's published prices and features alone do not prove French tax compliance. The help centre describes the time sent to an invoice, but only your trial will validate the actual route.
What three seats cost before options
To make the trade-off concrete, consider three people who each need a full seat. Public prices consulted on 27 September 2026 list ClickUp Unlimited at 7 $ per user per month with annual billing, or 10 $ with monthly billing; this comes to 21 $ or 30 $ per month for three seats before taxes. Bonsai Essentials lists 19 $ per user per month with annual billing, or 25 $ with monthly billing, giving 57 $ or 75 $ per month for three seats. This calculation does not compare identical features: Bonsai Essentials includes commercial functions that are not ClickUp's main purpose. For Miro, the cost depends on the plan, seats and permissions granted to external people; check and record the current price in your motto and the type of collaboration you need.
Beyond seats, include any billable guests, automations above quotas, storage, integrations and administration time. A free plan can be costly in repeated data entry, while a more comprehensive tool may remain useless if the team does not adopt it. Also compare exit costs: a project plan must be recoverable in a usable format, not just as an image.
A short trial that really sets the tools
- Choose a project already delivered. Use its true roles, steps and documents, masking sensitive data as needed. Avoid the ideal demo offered by the vendor.
- Ask each person to do his usual act. The manager creates the action, a colleague takes over and a client or validator sees what he needs to see. Note when to return to email.
- Make an exception. Set a deadline, remove external access, correct an hour of work, or change the name of the manager. Observe notifications and history.
- Measure maintenance. How many minutes does it take each week to keep statuses up to date? If the board is empty after ten days, this way of working may not be sustainable.
- Export before paying. ClickUp describes the CSV export of tasks; Bonsai documents the export of customers, projects, times and invoices; Miro offers different exports of tables, whose usefulness in rebuilding tasks must be examined. Download an example and ask yourself if you could change the tool without a massive re-entry.
Our decision rule
For a team that loses track of tasks, choose the product where assigning work, setting deadlines and approving results require the least manual discipline; ClickUp is a relevant candidate to test. For occasional visual workshops, Miro can complement an already reliable task management system. For services billed by time or at a fixed price, Bonsai is worth a trial if the proposal, time records and invoice remain linked, subject to your accounting and tax requirements. Pay for a second tool only if the handover between the two is clear and actually used.
