EngageBay: useful checks before and after a CSV import

Check the records created after the import. Check the dates, signs and next actions before loading the entire file.

Analysis of official documentation, with no testing on a paid account.

A spreadsheet may contain an address, business, telephone number and reminder date on the same line. After the import, we still need to know where each information has been stored and what action the commercial has to do. In EngageBay, the preparation of the file counts as much as its loading: a badly associated column can leave a sheet apparently complete, but difficult to use.

This guide is intended for independent and small teams who prepare their first contact file for EngageBay. The proposed checks cover an extract of your file, before loading all contacts.

Define what the commercial needs to find

Before opening the importer, choose the expected result: find the right person, understand your business and prepare a next action. An imported contact is not automatically a business, an appointment or a complete history. The object documentation CRM In particular, there is a distinction between contacts, companies and business; their associations give context to cases.

We recommend preparing a column dictionary before the final file. For each column, write down its meaning and destination. Should “Company” mean a name in a contact property or a company to associate with it? Is “Follow-up” a note, a date or a task? If the team gives two different answers, the import is happening before the organisational decision.

The migration guide CRM treats the complete recovery of objects and their relationships. Here, the perimeter is narrower: prepare a CSV of contacts for EngageBay and check that it is used for commercial tracking.

Associate each column with a property included

The EngageBay help describes a path from the contacts of the Sales or Marketing module: selecting a CSV file, loading, and then matching columns and fields before the import. This match, sometimes called mapping, tells the software where to store each value. Source: Create or import contacts.

Keep an intact copy of your starting file and work on an extract. Give columns understandable names, remove those that are not useful for tracking and check the separation between first name, last name, business and function. Do not assign to the column name the correction of an unprepared value: a date written in a comment field remains an information to be interpreted.

File informationQuestion before correspondencePost-import control
E-mail addressIs that the address of the person or of a shared service? The record represents the correct contact.
PhoneIs the country explicit and has the value been retained as a text? The number lost neither prefix nor useful character.
Next follow-up dateWhat format is used, and should you also create a task? The date is legible and the action remains assigned.
Origin of contactIs the file, context and date of collection found? The colleague understands why the record exists.
Subscription statusWhat does this value mean in the source system?Do not assume that the contact is a subscriber.

This matrix is a Logicelio suggestion, not EngageBay's list of mandatory fields. Create only the properties you need and check that they are available in your plan before adding more custom columns.

Check dates and country setting before loading

One second EngageBay import guide explains that the window offers a format choice for Date/Time fields. A value such as “04/05/2026” can represent two different dates depending on the convention. Compare an ambiguous case and an unambiguous case with your source file; do not approve the result solely on how the column looks.

For numbers, the vendor documents a default country code in Account Settings, Domain Settings, then Others. It states that this election must be made before the import is made for the option to apply. A multi-country file therefore requires special attention: do not assume that a single value fits all its lines.

Our control: Open the extract in a text editor before loading. A spreadsheet may already have changed a value when recording, for example by deleting an initial zero. Checking the transmitted file makes it possible to distinguish an error of preparation from a bad match in the CRM.

A recorded contact must still be followed up

Aid from EngageBay contact management presents tasks, notes and cases associated with the card. It also describes collective actions, including adding to a sequence, sending an email or changing ownership. These operations have different effects from simple column storage.

For your first extract, hold a next action per useful folder and check who takes it back. If a date is found in a property without a corresponding task, decide explicitly how it will be monitored. Associate the date with a planned task or control.

The documentation consulted does not guarantee the processing of all duplicates, empty values or reimports in each configuration. Before a second load, check on an example what is created or modified. The decision guide before merging contacts helps to analyze a resemblance, but its Pipedrive and HubSpot procedures must not be transposed as such to EngageBay.

Separate presence in the CRM and campaign subscription

The status "Mark as Confirmed" appears in the actions described by EngageBay. This button changes a state in the software; it does not only document what the person has accepted. Before any collective action, identify the lists, sequences or workflows to which the cards could be added and check the rules already active in your account.

Under our method, an unknown source or a recorded objection blocks addition to a campaign until the record has been clarified. The CNIL points out in its guidance on suppression lists, the importance of keeping an opposition in mind despite new data sources. Do not turn a reimport into a reset of preferences.

EngageBay also describes a function Resubscribe which sends a message with a confirmation button. This guide does not recommend sending it to the entire file: the existence of a function does not determine the conditions under which you can request a person. Define the purpose and rules for your audience before preparing a campaign.

Read a few sheets before loading the rest

In the extract, choose a number whose initial zero must remain present, an ambiguous date and an already known contact of the CRM. Compare each file to the source file. If you cannot explain what was created or changed, correct the correspondence before the full load.

For any discrepancies, record the source column and the selected property so you can correct the file or mapping. Keep a batch reference in your workflow to identify the affected records. If no suitable field is available, that reference can remain in your import log; it should not be presented as a guaranteed built-in feature.

Consider it incomplete if a date has changed meaning, if an existing card has lost useful value or if a sending preference is no longer understandable. Correct the extract before loading the rest. The number of lines accepted is a quantity control; reading a folder and its next action checks its usefulness.

When to prepare a more complete migration

Handle CSV contact migration separately from attachments, conversations and associations. If these elements are essential to tomorrow’s work, prepare a migration project with separate checks for them. For just a few contacts, verified manual entry may also avoid building an import procedure more cumbersome than the need warrants.

The official EngageBay grid distinguishes several feature sets and limits, including contacts and custom properties. A call to action for the free CRM does not mean that every automation described in the help documentation is included. Check your account's offer, capacity and required features without inferring a paid plan from an isolated feature table.

To locate this choice, see EngageBay review and selection of CRM for small businesses. The right result is a folder that your team can use: the right person, understandable values, a next action and respected sending preferences.
